Entrance Requirements
General
Work experience of at least a year in the Civil Service, as well as a recommendation and sponsorship from the Regional Government or Federal Government employer.
Students must fulfill the following requirements specific to the institute or department to which they are applying:
- Completion of senior secondary school education
- Contractual agreement to serve the employer after graduation for 7 years
- Successful achievement in the qualifying entrance examinations.
- Cost sharing dependant on salary scale.
The Entrance Examination
The college administers an entrance examination on behalf of the institutes and Centers. Short course students are not required to take an entrance examination.
The examination is administered by the entrance examination coordination office of the Academic Vice President. The college registrar announces the list of names of successful candidates to the federal and Regional Government Departments.
The examination can be taken throughout the country in regional department. It is tailored to each specific Institute or Department of the college according to their individual requirements.
Registration
Registration of students takes place at the college campus before the beginning of each term. The registration schedule shall be announced by the office or the Registrar’s. There is usually late registration after the regular registration period. Late registration incurs a penalty. Students should observe the following registration rules and procedures:
- Registration is in person
- A students must normally register for a minimum of 12 and a maximum of 15 credit hours unless one gets special dispensation
- A student must pass the pre-requisite before he/she registers for an advanced course
- During registration, students are given three copies of registration slips to be completed and signed in consultation with the institute or department advisor. The first copy shall be deposited in the office of the registrar’s the second in the institute or department, and the third shall be kept by the student. Students are also given class admission slip for each course to be completed and signed in consultation with the advisor and submitted to the concerned instructor.
- All coursed have course titles and course numbers.
Registration is complete when the "REGISTERED" stamp is placed on the registration slip.
Exemptions
The college exemption process in partnership with participating higher education institutions recognizes highly relevant qualifications. This means that the college acknowledges that students may have covered some subject areas in sufficient depth to gain exemptions from some examination.
The college builds upon the knowledge gained from the student’s degree or other qualification. If the student is eligible for any exemptions they will need to rely on the skills and knowledge they would have gained at each previous level of the institute or department examinations, to succeed at the higher level exams.
Students offered exemptions should, therefore, satisfy themselves that they have the knowledge to continue with their course without taking the exempted subjects.
Students checking their competence against the curriculum they wish to follow will be able to confirm to themselves whether they should accept the exemptions offered, or should waive one or more of them. Examinations from different educational establishments can be very different. The college will make every effort to ensure exemptions offered are accurate assessments of the student’s abilities; however some students may have qualifications from overseas institutions which the college may not be able to fully assess.
Exemptions are a concession and are only awarded at the discretion of the college. There is no automatic entitlement to exemptions.
Students who have studied a relevant specialist degree or MBA, may be eligible for exemption from course subjects at the discretion of the Registration Department
Reference and Behavior
Reference
Student may be required to furnish reference from their current and/or past employers at the discretion of the college.
Behavior
Students are expected to behave in a manner consistent with a higher education establishment. Students must be polite at all times, and show respect to all college staff and other students.
Students found intoxicated in any manner, (i.e. illegal drugs alcohol or any other substance deemed inappropriate by the college authorities), will be disciplined by the college authorities.
Students are expected to dress appropriately smartly during their attendance at the college campuses. Clothing which may be construed as ‘revealing’, will not be accepted.
Disciplinary procedures
Class attendance,Warning and Probation
Class attendance
A student should attend all classes. A recorded absence of more than 25% could constitute sufficient grounds for barring the student from taking the final exam.
Warning
A warning shall be given to:
- A student who scored a TGPA greater than or equal to 1.25 and less than 1.75 at the end of first year first term
- A student who scored a CGPA greater than or equal to 1.75 and less than 2.00 at the end of 1st year 2nd term.
- A student who, for the first time, scored a TGPA below 1.00 at the end of the third term and the following terms provided his/her CGPA is greater than or equal to 2.00.
Probation
- Academic probation is a suspension of the penalty of dismissal for scholastic failure on the assumption that the required CGPA may be obtained in the following term
- Academic probation is not a right, but a privilege granted to a students by the academic commission
- The academic commission may grant probation if the CGPA of a student is:
- Greater than or equal to 1.5 and less than 1.75 at the end of first year second term; or,
- Greater than or equal to 1.75 and less than 2.00 at the end of the third term and the following terms
- A student may not be on probation for more than two consecutive terms
Transfer from Degree to Diploma
- Transfer, because of probation or warning a degree to a diploma program is limited to the first two terms of the first year.
- Students of all regions may benefit from this arrangement but priority will be given to students of Afar, Benishangul, and Gambela regions. In all cases priority will be given to female students.
- Transfer from a degree to a diploma program is possible within the same department. Students or a department. Students of a department without a diploma program can transfer to any relevant diploma program in the same Institute.
- Transfer from an Institute or Department to another institute or Department is not allowed
- Application for transfer is initiated by the student.
Withdrawal
- Except for the end of the academic year or upon graduation, a student withdrawing from the college for any other reason shall consult the Institute or Department. Re Admission may be withheld if the withdrawal is inadequate reasons.
- All withdrawals shall immediately be communicated in writing to the office of the Registrar’s
- Withdrawal in all cases shall be effective only if the proper clearance procedure is fulfilled. Failure to comply with the clearance procedure may entail denial of re-admission.
- The following procedure shall be applicable for clearances:
- The student shall collect three copies of the clearance form the Office or registrar’s
- Then he/she shall submit the first copy to the office of the registrar’s the second to his/her Institute or Department and retains the third with him/her, after properly filling in the forms and getting them signed by the appropriate person (s).
No transcript, degree, diploma or letter of recommendation may be issued to a student unless/ he/she produces a copy of the completed and signed clearance form.
Re-admission
- A student who officially withdrew or was dismissed for academic reasons may be readmitted if she/he applies in the term she/he is dismissed or withdrew and:
- Is still recommended by the concerned region; and
- Scored a TGPA of 1.00 and above in the first year first term
- Notwithstanding this article, a student shall only be readmitted if the academic commission determines that his projected CGPA may reach the minimum pass grade in two terms (not necessarily consecutive terms). If a student is readmitted assuming that his CGPA will reach the minimum pass grade in two terms, then this student should improve his TGPA/CGPA in the term of readmission. If he/she has no problem course(s) (i.e. course (s) with F or D grade (s) to take in the following term he/she should be forced to withdraw and apply for readmission when the problem course(s) is (are) next offered.
- Such a student should improve his/her TGPA/CGPA in the term of readmission to continue his/her studies next term (not necessarily consecutive).
- TGPA/CGPA is said to be improved if the academic commission determines that the projected CGPA for the second term after readmission (not necessarily the following term) reaches the minimum pass grade
- The following procedure shall be applicable to grant re-admission:
- The student shall collect a re-admission application form from the office of registrar’s
- He/she shall fill in the form and return it to the office of the registrar’s as per the college calendar.
- The office forwards the application form to concerned Institute or Department
- The academic commission shall act on the application and transmit its decision to the office or registrar’s.
- The registrar’s shall notify the decision to the student
- The re-admitted students shall be registered when they submit their clearance form; two passports sized recent photographs and a letter of support from their region.
- A student dismissed for academic reasons may not be re-admitted more than once
- Unless the commission decides otherwise, the minimum term load for a readmitted student shall be six. (6) Credit hours.
Cheating and Dismissal
Cheating
- A student who is found cheating in an examination for the first time shall be given an “F” grade for that particular course. This shall equally be applicable to collaborators, if any.
- A student who is found cheating or collaborates in cheating for the second time shall be dismissed
- Both cases shall be communicated to the sponsoring institution.
Dismissal
- A student shall be dismissed if he/she:
- Scored a TGPA of less than 1.25 in the first year first term
- Scored a CGPA of less than 1.75 at the end of the first year second term
- Scored a CGPA of less than 2.00 at the end of the third term and the following terms
- Scored a TGPA below 1.00 for two consecutive terms at the end of the third term and the following terms regardless of the student’s CGPA
- Is found cheating or collaborated in cheating in examination for the second time.
Academic Dispute Settlement Procedure
- The following procedure shall be applicable to resolve an academic dispute involving a student and an instructor.
- The student shall first discuss the matter with the concerned instructor
- If no solution is reached, the student shall discuss the matter with the Institute or Department Head
- If the matter is not resolved, it shall be submitted to the academic Commission, provided the student pays Birr 10.00 for re correction.
- The Academic Commission shall set-up a committee who shall investigate the dispute and give a recommendation.
- The Academic Commission shall give a final decision
- The decision of the Academic Commission shall be final.
